When student data is imported and the file has not been properly validated there is the potential for duplicate students to be imported. This lesson guides users through resolving duplicate student accounts by either merging the accounts or editing one or both of the accounts to differentiate between the two students.
Where to Start
- Go to System Configuration.
- Go to Students & Guardians and select Students.
- Select Merge Students. This button will only appear if the system recognizes students that may be duplicated.
Resolve Duplicate Student Accounts by Merging
- Compare the student Names, IDs, and Date of Birth on the left and right sides of the table to confirm if the students are duplicates.
- Select the arrow of one of the records to keep the left student or keep the right student. It is recommended to merge into the account that contains the most student information. Once the two accounts are merged, all data from both accounts are combined into the selected student to keep.
If a user is unsure if the students should be merged, please refrain from merging the accounts until confirming if the students are duplicates by comparing the student data between the SIS and eduCLIMBER.
Resolve Student Accounts that are Not Duplicates
- Compare the student Names, IDs, and Date of Birth on the left and right sides of the table to confirm if the students are duplicates.
There are two ways to resolve student accounts that are not duplicates.
- Select the minus icon under the Do Not Merge column for the student accounts that should not be merged. This will automatically remove the students from the list. To keep the students on the list, use the Include Students Marked "Do Not Merge" slider.
- Select the Student Data Icon next to the student's name to add a middle initial to the first name to differentiate between the students. This can be done to both students, but only needs to be done to one.
